Role Purpose & Responsibilities
Role Purpose: Reporting to the Senior Director of People, Culture and Operations, the Director of Operations provides internal leadership by overseeing the day-to-day operations of the organization, ensuring that it runs efficiently and that all members of staff have what they need to succeed (such as equipment, supplies, recordkeeping, etc) in a safe and supportive work environment.
The Director of Operations will work with the Housing Families’ leadership to ensure the efficient function of the organization’s programs and operations.
Responsibilities:
· Analyze and manage the day-to-day internal operations and technology systems of Housing Families’ shelter sites and offices including staff space, inventory, security, alarms, tech equipment, internet access, Microsoft Teams cloud services and training new hires on operational systems.
· Supervise the organization’s Operations Department staff and support them in the day-to-day functions of their roles.
· Work closely with Senior Leadership to determine priorities and goals, and make project plans
· Serve as Organization Administrator for all information technology.
· Coordinate with Auxzillium/Accounts Payable with reconciling monthly billing for site specific contracts. This includes reporting out on expenses for contract invoices.
· Support the implementation of new contracts regarding Operations including understanding the budget designated for operations cost, working with program directors to map out implementation strategy and working with Auxzillium on costs.
· Create and maintain operations manuals for each site.
· Support Property team to ensure progress towards work orders through Yardi Breeze including tracking landlord communications, coordinating vendor and utility maintenance, follow up on orders and documentation.
· Track information for all properties such as utilities and landlord information.
· Keep up to date with operational efficiencies and best practices by researching simplified processes and researching and tracking vendors.
· Collaborate with others and implement the Risk Management Plan.
· Other Duties as assigned.

· Knowledge of human services programming and non-profit operations
· Strong and versatile verbal and written communication skills
· Ability to prepare statistical reports on various aspects of program and agency related activity
· Experience with Project Management systems
· Proficiency working with IT systems
· Ability to collect and distribute information to staff members.
· Ability to move between high level of detail and big picture
· Ability to train staff on a variety of topics including new or changed systems
· Strong analysis skills – active listening, asking questions to gather necessary information for good decision making and implementation
Qualifications:

Eligibility Requirements:
· Must be willing to work in Malden, MA, and surrounding areas.
· Must have unrestricted work authorization to work in the United States
· Must have reliable transportation
Physical Requirements:
· Must be able to lift up to 50 pounds at a time walking up and down flights of stairs
· Must be able to sit for prolonged periods of time at a desk while working on a computer

- Compensation/Hours: Full time, exempt salaried role $80,000 annually· Benefits: Eligible for full benefits including Health/Dental/Vision Insurance, 403B Retirement Plan, Paid Time Off, Tuition Reimbursement
